1. Eligibility to Exhibit

1.1 Exhibitors must be engaged in products, services, or programs relevant to the themes of the AGAD Summit & Awards, including diplomacy, trade, investment, infrastructure, tourism, cultural exchange, sustainable development, and related industries.
1.2 The Organizer reserves the right to determine eligibility of any company or product for inclusion.


2. Application & Payment

2.1 Applications must be submitted using the official Exhibitor Registration Form.
2.2 Booth allocation will be confirmed upon full payment of the exhibitor fee.
2.3 Payments are non-refundable except in cases where the Organizer cancels the event.


3. Booth Assignment

3.1 Booth locations will be assigned by the Organizer based on availability, sponsorship level, and exhibit category.
3.2 The Organizer reserves the right to alter the floor plan and relocate booths for operational reasons.


4. Exhibit Setup & Dismantling

4.1 Exhibitors will be provided setup and dismantling schedules in advance.
4.2 No booth may be dismantled before the official closing time of the exhibition.
4.3 Exhibitors are responsible for transporting, assembling, and removing their displays.


5. Booth Design & Conduct

5.1 Booths must be professionally presented and staffed during all exhibition hours.
5.2 Sound levels, lighting, and promotional activities must not interfere with neighboring exhibitors.
5.3 Exhibitors must refrain from selling goods directly for cash without prior approval from the Organizer.


6. Use of Space

6.1 Subletting or sharing booth space is prohibited without written consent from the Organizer.
6.2 Displays must remain within the assigned booth boundaries.


7. Intellectual Property & Brand Compliance

7.1 Exhibitors are responsible for ensuring all displayed materials respect intellectual property rights.
7.2 Unauthorized use of the AGAD Summit & Awards logo or brand is prohibited without written permission.


8. Insurance & Liability

8.1 Exhibitors must maintain appropriate insurance coverage, including public liability and property insurance.
8.2 The Organizer is not responsible for loss, theft, or damage to exhibitor property.


9. Compliance with Laws

9.1 Exhibitors must comply with all applicable local, national, and international laws, including health and safety regulations.
9.2 Any food or beverage sampling must comply with venue and health authority guidelines.


10. Force Majeure

10.1 The Organizer is not liable for delays or cancellations caused by events beyond its reasonable control, including natural disasters, strikes, government regulations, or pandemics.


11. Termination of Contract

11.1 The Organizer reserves the right to terminate an exhibitor’s participation if they breach these rules, act in a manner that could harm the event’s reputation, or engage in unlawful activities.


12. Dispute Resolution

1. Scope of Agreement

These Terms of Attendance and Participation govern all individuals (“Participants”) attending, presenting, exhibiting, sponsoring, or otherwise taking part in the AGAD Summit & Awards, whether in-person or virtually.


2. Registration & Payment

2.1 Registration is only confirmed upon receipt of full payment and confirmation from the Organizer.
2.2 Fees are non-refundable except in cases where the Organizer cancels the event.
2.3 Substitution of participants may be permitted with prior written notice to the Organizer.


3. Access & Identification

3.1 All participants must wear their official event badge at all times in designated event areas.
3.2 Badges are non-transferable and may not be shared.
3.3 The Organizer reserves the right to refuse or revoke access without refund in cases of non-compliance with these Terms.


4. Code of Conduct

4.1 Participants must behave professionally and respectfully toward other attendees, speakers, exhibitors, and staff.
4.2 Harassment, discrimination, or disruptive behavior will not be tolerated and may result in removal from the event.
4.3 Participants must comply with all applicable local, national, and international laws.


5. Intellectual Property & Content Use

5.1 All event materials, presentations, and recordings are the property of the Organizer or respective speakers.
5.2 Participants may not reproduce, distribute, or broadcast any content without written permission.
5.3 By attending, participants consent to being photographed, filmed, or recorded, and grant the Organizer the right to use such media for promotional purposes.


6. Program Changes

6.1 The Organizer reserves the right to modify the event program, speakers, or schedule without prior notice.
6.2 Such changes do not entitle participants to refunds or compensation.


7. Liability & Insurance

7.1 Participation is at the individual’s own risk.
7.2 The Organizer is not liable for personal injury, loss, or damage to personal property.
7.3 Participants are advised to carry personal insurance coverage.


8. Health & Safety

8.1 Participants must adhere to any venue, public health, or government guidelines in place at the time of the event.
8.2 Failure to comply may result in removal from the event without refund.


9. Force Majeure

9.1 The Organizer is not responsible for delays, changes, or cancellations due to events beyond its reasonable control, including but not limited to natural disasters, strikes, pandemics, or government restrictions.


10. Governing Law

10.1 These Terms are governed by the laws of Ontario, Canada, and any disputes will be resolved in the courts of Ontario, Canada.

1. Scope

These Terms and Conditions apply to all sponsors (“Sponsors”) participating in the Hosted Meetings Program during the AGAD Summit & Awards. This program is designed to connect Sponsors with pre-qualified buyers, decision-makers, diplomats, and industry leaders in structured, scheduled one-on-one or small-group meetings.


2. Participation Requirements

2.1 Sponsors must be registered and confirmed as official event sponsors before participating in the Hosted Meetings Program.
2.2 Sponsors are responsible for providing accurate company information, product/service descriptions, and participant profiles to facilitate appropriate matchmaking.
2.3 Sponsors must have at least one authorized representative present for all confirmed meetings.


3. Meeting Scheduling & Attendance

3.1 Meetings will be pre-scheduled based on mutual interest and program criteria.
3.2 Sponsors must attend all confirmed meetings unless prior written notice of cancellation is provided at least 24 hours before the meeting.
3.3 Failure to attend more than 20% of scheduled meetings without a valid cause may result in penalties, including loss of program privileges for future events.


4. Conduct & Etiquette

4.1 Sponsors must conduct themselves in a professional manner during meetings, respecting the time and objectives of attendees.
4.2 Aggressive sales tactics, inappropriate behavior, or failure to adhere to event guidelines will not be tolerated and may result in termination of participation.


5. Data & Privacy

5.1 Sponsors will receive contact and company information of confirmed meeting participants solely for business follow-up related to the event.
5.2 Sponsors agree not to share, sell, or misuse attendee data in violation of privacy laws or these Terms.
5.3 Any unauthorized use of attendee data will result in immediate termination from the program and potential legal action.


6. Intellectual Property

6.1 All promotional materials provided by the Organizer remain the property of the Organizer.
6.2 Sponsors may not reproduce or modify event branding without prior written consent.


7. Liability

7.1 The Organizer is not liable for the commercial outcome of any meetings or business discussions.
7.2 The Organizer does not guarantee sales, contracts, or partnerships arising from the Hosted Meetings Program.


8. Cancellation or Changes

8.1 The Organizer reserves the right to modify or cancel the Hosted Meetings Program schedule at any time due to operational requirements or unforeseen circumstances.
8.2 If the entire event is canceled, sponsors will be refunded per the Sponsorship Agreement’s terms.


9. Governing Law

9.1 These Terms are governed by the laws of Ontario, Canada.
9.2 Any disputes will be subject to the exclusive jurisdiction of the courts of Ontario, Canada.
